Staff Management

NaviPOS lets you create accounts for your employees with different access levels, ensuring accountability and security.


User Roles

| Role | Access Level | |------|-------------| | Owner | Full access — all features, settings, and reports | | Manager | Sales, inventory, reports, and staff management (no system settings) | | Cashier | Sales processing only — cannot access reports or inventory | | Stock Keeper | Inventory management only — cannot process sales |


Adding Staff

  1. Go to Settings → Users → Add User
  2. Enter the employee's name and create a username
  3. Set a PIN or password
  4. Assign a role (Owner, Manager, Cashier, Stock Keeper)
  5. Click Save

💡 Use short PINs (4–6 digits) for cashiers who need to log in quickly between customers.


What Each Role Can Do

Cashier

  • ✅ Process sales
  • ✅ Accept payments
  • ✅ Print receipts
  • ✅ Apply pre-set discounts
  • ❌ Cannot void sales (requires manager)
  • ❌ Cannot view reports
  • ❌ Cannot access inventory
  • ❌ Cannot change prices

Manager

  • ✅ Everything a cashier can do
  • ✅ Void and return transactions
  • ✅ Apply custom discounts
  • ✅ View all reports
  • ✅ Manage inventory
  • ✅ Add/edit products
  • ❌ Cannot delete users
  • ❌ Cannot change system settings

Owner

  • ✅ Full access to everything
  • ✅ System settings and configuration
  • ✅ User management
  • ✅ Financial reports
  • ✅ Data export and backup

Activity Logs

NaviPOS logs every action by every user:

  • Sales processed
  • Voids and returns
  • Discounts applied
  • Inventory changes
  • Login/logout times

Go to Reports → Activity Log to review. Filter by user, action type, and date range.


Shift Management

If you run shifts:

  1. Go to Settings → Shifts to define shift times
  2. Each cashier clocks in when they start their shift
  3. End-of-shift generates a per-cashier sales summary
  4. Compare expected cash per cashier vs. actual

Tips

  • 🔑 Never share passwords — Each employee should have their own account
  • 📋 Review activity logs weekly — Spot unusual patterns early
  • 🎯 Use the right role — Don't give cashiers more access than they need
  • 💰 Individual accountability — With separate accounts, you know who did what
