Making Your First Sale

This step-by-step tutorial walks you through processing your first sale in NaviPOS.


Step 1 — Launch NaviPOS

Double-click the NaviPOS icon on your desktop. Enter your username and password (provided by your affiliate partner during installation).


Step 2 — Open a New Sale

Click New Sale on the dashboard, or press the F2 keyboard shortcut.


Step 3 — Add Products

You can add products in three ways:

Barcode Scanning (Fastest)

Point your barcode scanner at the product — it's added instantly with quantity 1.

Search by Name

Type the product name in the search bar. Select from the dropdown results.

Browse by Category

Click Categories and navigate to the product. Click to add.


Step 4 — Adjust Quantities

  • Click the quantity field next to any product to change it
  • Use + and buttons for quick adjustments
  • The running total updates automatically

Step 5 — Apply Discounts (Optional)

  • Per-item discount — Click the discount icon next to a product
  • Whole-sale discount — Click Discount at the bottom of the sale
  • Choose percentage or fixed amount

Step 6 — Process Payment

Click Pay to open the payment screen. Choose your method:

Cash Payment

  1. Enter the amount the customer is giving you
  2. NaviPOS calculates the change automatically
  3. Click Complete Sale

M-Pesa Payment

  1. Select M-Pesa
  2. Enter the customer's phone number
  3. An STK Push is sent to their phone
  4. The customer enters their M-Pesa PIN to confirm
  5. Payment is confirmed automatically

Split Payment

  1. Select Split Payment
  2. Enter the M-Pesa amount and cash amount
  3. Process each payment method

Step 7 — Receipt

The receipt prints automatically on your thermal printer. The sale is recorded and reflected in all reports.


Tips

  • 💡 Use Hold (F3) to pause a sale and serve another customer, then Recall to continue
  • 💡 Press F4 for quick customer lookup
  • 💡 Always do an End of Day close to reconcile your register
