End of Day Procedures
Closing the day properly in NaviPOS ensures accurate records and accountability. Follow these steps every evening.
Step 1 — Process All Pending Sales
Before closing:
- Complete any sales on hold
- Process any pending M-Pesa payments
- Handle any outstanding returns
Step 2 — Count Your Cash
- Count all cash in the register
- Note the total on paper
Step 3 — Run End of Day
- Go to POS → End of Day (or press F8)
- Enter the physical cash count (what you actually counted)
- NaviPOS displays:
- Expected cash — Based on cash sales minus cash payouts
- Actual cash — What you entered
- Variance — Difference (overage or shortage)
- If there's a variance, add a note explaining it
- Click Close Day
Step 4 — Review the Daily Report
After closing, NaviPOS generates a daily summary:
| Section | Details | |---------|---------| | Total Sales | Revenue for the day | | Transaction Count | Number of sales | | Payment Breakdown | Cash, M-Pesa, Card, Credit amounts | | Returns | Any returns processed | | Discounts | Total discounts given | | Expenses | Any expenses logged during the day | | Net Cash | Expected cash after all calculations | | Variance | Difference between expected and actual cash |
Step 5 — Print and Archive
- Click Print Report to get a hard copy
- The report is automatically saved in NaviPOS for future reference
- Business owners can also view it remotely via NaviPOS-Web
