Customer Management
NaviPOS lets you maintain a customer database, track purchase history, manage credit sales, and build loyalty.
Adding Customers
- Go to Customers → Add Customer
- Enter customer details:
- Name
- Phone number
- Email (optional)
- Address (optional)
- Click Save
💡 You can also add customers on the fly during a sale — click Add Customer on the sale screen.
Customer Profiles
Each customer profile shows:
- Contact Information — Name, phone, email, address
- Purchase History — Every transaction with dates and amounts
- Total Spent — Lifetime spending at your business
- Credit Balance — Outstanding credit (if any)
- Last Visit — When they last made a purchase
- Favourite Products — Most frequently purchased items
Credit Sales
For trusted customers, you can allow buying on credit:
Processing a Credit Sale
- Add products to the sale as normal
- Select Credit as the payment method
- Select the customer from the dropdown
- The credit amount is added to their balance
- Receipt shows the credit amount and outstanding balance
Receiving Credit Payment
- Go to Customers → [Customer Name] → Credit Balance
- Click Receive Payment
- Enter the amount being paid (partial or full)
- Select payment method (Cash or M-Pesa)
- The credit balance is reduced accordingly
Credit Reports
Go to Reports → Credit Report to see:
- Total outstanding credit across all customers
- Per-customer credit balances
- Ageing report (how long credit has been outstanding)
- Payment history
Customer Groups
Organise customers into groups for targeted actions:
- Wholesale — Customers who buy in bulk (special pricing)
- Regular — Frequent buyers
- Corporate — Business accounts
- Walk-in — One-time customers (default)
Tips
- 📱 Always capture phone numbers — Useful for M-Pesa and follow-ups
- 💰 Set credit limits — Prevent customers from accumulating too much credit
- 📊 Review credit report monthly — Follow up on overdue balances
- 🎯 Know your VIPs — The top 20% of customers often drive 80% of revenue
